Retreat Terms & Conditions

1. Scope

These Terms and Conditions apply to all yoga retreats, workshops and events organised by Nadja Steinbach.

By booking a retreat, participants agree to these Terms and Conditions.

2. Booking and Payment

A retreat place is confirmed only after full payment or deposit (if applicable) has been received.

Payment details and deadlines will be provided during the booking process.

If payment is not received within the stated time frame, the organiser reserves the right to cancel the booking.

3. Participant Responsibility

Participants confirm that they are physically and mentally able to participate in yoga classes and retreat activities.

Participants agree to inform the organiser in advance of any injuries, medical conditions or limitations that may affect participation.

Participation in all activities is voluntary and at the participant’s own risk.

4. Cancellation Policy

All retreat bookings are binding and non-refundable.

Participants are responsible for their own travel arrangements and personal circumstances.

We strongly recommend that participants take out comprehensive travel cancellation insurance to cover illness, accidents or unforeseen events that may prevent attendance.

Failure to attend the retreat does not entitle the participant to a refund.

5. Retreat Cancellation by the Organiser

The organiser reserves the right to cancel or reschedule retreats due to:

  • insufficient participant numbers

  • force majeure

  • illness

  • travel restrictions

  • circumstances beyond reasonable control

In such cases, payments already made will be refunded in full. Further claims, including travel or accommodation costs, are excluded.

6. Liability

The organiser shall only be liable for damages caused by intentional or grossly negligent behaviour.

No liability is accepted for:

  • loss or theft of personal belongings

  • injuries occurring during retreat activities unless caused by gross negligence

  • travel disruptions or delays

Participants are responsible for arranging their own travel and health insurance.

7. Travel and Insurance

Participants are responsible for organising their own:

  • travel arrangements

  • health insurance

  • travel cancellation insurance

The organiser accepts no liability for travel-related issues.

8. Changes to Programme

The organiser reserves the right to make reasonable changes to the retreat schedule, teachers or activities if necessary.

9. Photography and Media

Photographs or videos may occasionally be taken during retreats for promotional purposes.

Participants who do not wish to appear in such materials must inform the organiser in advance.

10. Data Protection

Personal data is processed in accordance with our Privacy Policy.

11. Governing Law

These Terms and Conditions are governed by German law.

12. Severability Clause

If any provision of these Terms and Conditions is or becomes invalid, the validity of the remaining provisions shall remain unaffected.

13. Minimum Number of Participants

Retreats require a minimum number of participants to take place.

If the minimum number is not reached, the organiser reserves the right to cancel the retreat up to 30 days before the scheduled start date.

In this case, all payments made to the organiser will be refunded in full. Participants are responsible for their own travel arrangements and should ensure they have appropriate travel insurance.

14. Accommodation and Room Allocation

Accommodation is organised in cooperation with the respective retreat venue.

Room allocation is based on availability and booking category. While preferences may be considered, specific room requests cannot be guaranteed.

Participants sharing rooms agree to respect the privacy and comfort of fellow participants.

The organiser is not responsible for services provided by the accommodation venue but will support communication where possible.

15. Payment Plan and Deposits

A non-refundable deposit may be required to secure a retreat place. The remaining balance must be paid by the deadline communicated during booking.

If full payment is not received by the specified due date, the organiser reserves the right to release the participant’s place without refund of any deposit paid.

16. Illness or Injury During the Retreat

Participants are responsible for their own physical and mental well-being during the retreat.

If a participant becomes ill or injured during the retreat, they remain responsible for any associated medical costs, travel changes or accommodation arrangements.

The organiser reserves the right to exclude a participant from activities if participation may pose a health or safety risk to themselves or others. No refund will be issued in such cases.

17. Participant Conduct and Community Guidelines

Retreats are intended to provide a respectful, safe and supportive environment for all participants.

Participants agree to:

  • treat others with respect and consideration

  • respect cultural and local customs of the retreat location

  • follow safety instructions provided by the organiser and venue staff

  • refrain from behaviour that disrupts the retreat experience for others

The organiser reserves the right to remove participants from the retreat in cases of inappropriate, unsafe or harmful behaviour. No refund will be issued in such cases.

18. Programme Participation

Participants are free to choose whether to take part in any retreat activity. The organiser encourages participants to listen to their own physical and emotional boundaries at all times.

Yoga and movement practices may involve physical exertion. Participants accept responsibility for practising within their personal limits.

19. Food and Dietary Requirements

Where meals are included, participants are responsible for communicating dietary requirements or allergies in advance.

While venues generally aim to accommodate dietary needs, the organiser cannot guarantee that all requirements can be met or that meals are free from specific allergens.

20. Force Majeure

The organiser shall not be held liable for cancellation, delays or changes caused by circumstances beyond reasonable control, including but not limited to:

  • natural disasters

  • pandemics or public health restrictions

  • government travel restrictions

  • political unrest

  • extreme weather events
